You will invoice us for your services and be responsible for your own tax and National Insurance contributions.Salary: £13.45/hour, the Real Living WageStart date: June/July 2026Notice period: 1 MonthJob Description:Incredible Surplus is seeking two administrative assistants (job share) to support day to day tasks working alongside volunteers + co directorsResponsibilities + Duties Calendar/Diary - keeping a record and reminders of monthly, quarterly, annual obligations and tasks and ensuring those deadlines are met in good time Forwarding and answering emails, phone messages & enquiries Basic bookkeeping & finance tasks using Xero software: Administrating Bank account, PayPal, Sum up & Multipay Handling expenses & wages (payroll), government submissions etc Invoices, expenses, direct debits & standing orders Vehicle fleet admin - including tax, booking appointments for MOT, service, insurance etc Allocation of money/budgets for sub-projects e.g. Compost Culture Providing updates for committee meetings when requested Legal - ensuring certification, insurances and all legal paperwork is kept up-to-date, in order, and available for inspection if required General admin tasks including: filing, updating public (website) calendar, responding to and keeping daily task group informed Ordering equipment Applying for funding and maintaining associated paperwork e.g. winter food fund Meet with supervisor regularly, including quarterly performance reviews Requirements/Qualifications Excellent oral and written communication skills. Strong computer skills - Excel/Google Sheets, Word/Google Docs, Email etc. Xero software proficiency and familiarisation with social media and website content management would be a plus. Strong interpersonal skills - Incredible Surplus is a volunteer-led and run organisation; sensitivity and flexibility are essential! Strong organisational skills - Incredible Surplus runs across several sites, often 7 days per week. There are lots of competing demands and distractions, and to keep the project running smoothly requires attention to detail, focus, and prioritisation skills. Ability to work on own initiative, meet deadlines, and check for clarity if ever unsure Motivated and Enthusiastic - an ability to think on your feet and problem solve would be very useful - sometimes we never know what will happen/what opportunities will arise, and we need to mobilise volunteers and support swiftly.
