MAIA, Closing date: 20 May 2024

MAIA is looking for a practical and confident building manager and host, who will co-ordinate bookings and schedules, and care for our building (YARD) and the community around it: YARD Co-ordinator (3 days a week, £29,960 pro rata, Birmingham).

PURPOSE: To tend to the needs of our building - YARD - and the community who use it. To develop approaches to co-ordination and communication that allow smooth day to day operation while encouraging users of the building to play their part in caring for and sustaining it.

TIME: 3 days per week
TERMS: Permanent contract (with 6 month mutual exploration period)
SALARY: £29,960 full time salary pro rata (£1498 per month before tax)
BENEFITS: 3 wellbeing days + 3 CPD days per year, 28 days holiday + bank holidays, birthdays off, £300 annual wellness budget, additional access budget available
LOCATION: Birmingham or within reasonable commuting distance

WOULD SUIT SOMEONE WHO:
- Has excellent organisational, co-ordination and problem solving skills
- Has experience of buildings management, including co-ordinating contractors, health & safety, managing inventories and budgets and completing minor repairs
- Is confident with a range of IT systems and technical equipment (laptops, projectors, studio equipment)
- Has a good knowledge of accessibility, both in terms of buildings and operations, with a keen interest in expanding and developing this further
- Has an interest in mutual aid initiatives and/or exploring different models of exchange
- Has strong interpersonal and communication skills, navigating complexity and difficult conversations with confidence
- Enjoys hosting and is sociable with a warm and approachable personal style
- Is able to be flexible and responsive in their working hours in order to support events, bookings or meet contractors on site
- Is based in Birmingham or within comfortable commuting distance

AREAS OF WORK
- Co-ordinating communications and schedules: maintaining YARD calendar including system for internal bookings (e.g. bedrooms), managing YARD email, ensuring staffing in place to support bookings and preparing briefs for team members if needed
- Managing external bookings: liaising with communities that book our space, facilitating meetings and visits, discerning appropriate pricing / exchange (e.g. full cost / solidarity / in kind) and identifying points of connection with MAIA’s work
- Managing inventories and budget: tracking and monitoring levels of core supplies and equipment - kitchen, bathroom, garden, art supplies, office supplies - and purchasing resupply in line with agreed budgets
- Co-ordinating and supervising external suppliers and contractors: co-ordinating contracts, schedules and needs, with cleaning contractor, laundry partners, repairs and works contractors
- Ensuring safety and accessibility: liaising with H+S professional bodies for fire risk assessments and equipment checks and PAT testing, implementing access policies and exploring opportunities to make YARD accessible to a wider range of people
- Developing and communicating procedures and policies that allow users of the building and team members to understand what is needed to care for the building and each other
- Building relationships within and between community: supporting and hosting events at YARD alongside other team members, noticing and facilitating opportunities for connection and collaboration
- Working with other MAIA team members on strategic initiatives such as business incubation, supply chains work, developing regenerative and reciprocal ways of working. This will include identifying opportunities to prototype and test ideas that may inform our work towards establishing ABUELOS - a Black-owned and led art-hotel that reinvests in artists and the creative community of Birmingham.

Core duties (shared by all MAIA team members)
- Attend and contribute to weekly team meetings either in person at YARD or virtually
- Ensure the smooth flow of information around the organisation by replying to messages and emails in a timely manner.
- Participate in regular 1-1 meetings with other team members, including monthly check in with a Director
- Participate in team rotas for covering shared roles.
- Engage in organisational development conversations and activities
- Commit time to learning and engaging with MAIA’s programme, inspirations and the development of our thinking
